Data retention & deletion

What happens to deleted records, financial history, removed team members, lapsed or cancelled subscriptions, and your whole workspace when you close your account.

Deleted records#

RecordWhen you delete it
Customers, products, suppliersMoved to the Recycle bin. An Admin can restore them, or delete them permanently if nothing references them.
Invoices, payments, ledger entries, credit notes, refunds, expenses, drawings, reservesHidden but never permanently removed — financial history stays complete for GST and audits.
Team membersAccess removed and sessions ended; the member record and everything they did stays.
Message history entriesDeleted entries are removed from the history list.

See Soft delete & Recycle bin.

When a subscription lapses or is cancelled#

Billing problems never delete data:

  • Payment failed / grace period over — the app is locked until payment, but everything is kept. Pay and it is all there.
  • Cancelled — access continues to the end of the paid period, then stops. Your workspace is kept; start a new subscription to continue.

See Grace period & past due and Cancellation.

Closing your account#

To have your business and its data removed, email hi@codemites.com from your registered address (see Contact support).

When an account is closed:

  1. The business is marked closed immediately — no one can sign in (Account is not active).
  2. The workspace is kept for 30 days in case the closure was a mistake.
  3. After 30 days the whole workspace — every table and record — is permanently deleted. This cannot be reversed.

Backups#

Backups saved to your own Google Drive are files you control; deleting your Kapda Stock account does not remove them from your Drive. See Backups.

The policies#

The Privacy Policy, Terms of Service and Refund Policy are the governing documents. See Policies.
