Data retention & deletion
What happens to deleted records, financial history, removed team members, lapsed or cancelled subscriptions, and your whole workspace when you close your account.
Deleted records#

| Customers, products, suppliers | Moved to the Recycle bin. An Admin can restore them, or delete them permanently if nothing references them. |
| Invoices, payments, ledger entries, credit notes, refunds, expenses, drawings, reserves | Hidden but never permanently removed — financial history stays complete for GST and audits. |
| Team members | Access removed and sessions ended; the member record and everything they did stays. |
| Message history entries | Deleted entries are removed from the history list. |

When a subscription lapses or is cancelled#
Billing problems never delete data:
- Payment failed / grace period over — the app is locked until payment, but everything is kept. Pay and it is all there.
- Cancelled — access continues to the end of the paid period, then stops. Your workspace is kept; start a new subscription to continue.

Closing your account#
To have your business and its data removed, email hi@codemites.com from your registered address (see Contact support).
When an account is closed:
- The business is marked closed immediately — no one can sign in (Account is not active).
- The workspace is kept for 30 days in case the closure was a mistake.
- After 30 days the whole workspace — every table and record — is permanently deleted. This cannot be reversed.
Backups#
Backups saved to your own Google Drive are files you control; deleting your Kapda Stock account does not remove them from your Drive. See Backups.
