Backups
How your data is backed up — nightly and on-demand workspace backups to your own Google Drive, what a backup contains, restoring, and a sensible backup routine.
Kapda Stock gives the Owner and Admins control over their own backups, in addition to the platform's database hosting.
What a backup is#
A backup is a complete copy of your workspace at a point in time — products and stock, invoices and payments, customers and ledgers, suppliers and purchases, stock movements, expenses and finance.
Where and when#
| Nightly | Every day at 2:00 AM IST |
| On demand | ⬇ Back up now in Settings |
| Automatic Daily Backup switch | Once a day when you open the app, from that browser |
| Destination | Your own Google Drive (folder KapdaStock-Backups) when connected; otherwise the platform Google Drive when available, or local storage |
| Fast restore | A copy is also kept with the platform for quick restores |
Kapda Stock can only access the files it creates in your Drive.
Restoring#
A restore replaces the entire workspace with the backup — everything created after that backup is lost. It asks for confirmation twice. Use it for disasters, not to undo one mistake; for a single deleted record use the Recycle bin.
Step-by-step: Google Drive backup & restore.
A sensible routine#
- Connect your own Google Drive so a copy lives outside the platform.
- Leave the nightly backup running.
- Click Back up now before big changes: bulk imports, month-end closing, a restore.
- Once a month, download a backup and keep it somewhere safe.
- Check the backup list occasionally for failed entries.
