Soft delete & Recycle bin
Why deleting something in Kapda Stock rarely destroys it, what you can restore from the Recycle bin, and why financial records are never permanently removed.
Almost nothing in Kapda Stock is erased the moment you press delete. Records are soft-deleted: they are hidden from lists, searches and new transactions, but kept intact so history stays correct and mistakes can be undone.
Two kinds of records#
| Kind | Examples | On delete |
|---|---|---|
| Master data | Customers, products, suppliers | Moved to the Recycle bin. Can be restored, or permanently deleted by an Admin. |
| Financial records | Invoices, payments, ledger entries, credit notes, refunds, expenses, drawings | Marked deleted and hidden. Never permanently removed — not even by the owner. |
Keeping financial records forever means an old invoice, its payments and every report built on them always add up, which matters for GST and audits.
The Recycle bin#
Open it from Settings → Recycle bin → Open recycle bin →, or go to /app/trash. It lists deleted customers, products and suppliers, newest first, with counts per type.
| Column | Shows |
|---|---|
| Type | Customer, Product or Supplier |
| Name | Customer or supplier name, or product name |
| Details | Phone number (customers, suppliers) or SKU (products) |
| Deleted | When it was deleted, in IST |
| Actions | Restore and Delete forever |
Who can do what#
| Action | Minimum role |
|---|---|
| View the Recycle bin | Manager |
| Restore an item | Admin |
| Delete forever | Admin |
Restoring#
Click Restore. The record reappears in its list, active again, with its history (invoices, ledger, stock movements) exactly as it was.
Deleting forever#
Click Delete forever and confirm Permanently delete "name"? This cannot be undone.
If the record is referenced by any invoice, order or other transaction, permanent deletion is refused with:
This item is linked to invoices or orders, so it can't be permanently deleted. It stays safely archived.
The item simply stays in the Recycle bin. This protects your financial history — a product you have ever sold, or a customer you have ever billed, can be hidden but not erased.
