Low stock & reorder
How minimum stock levels drive the Low stock badge, the daily 9 AM alert and the dashboard tile, and how reorder suggestions are calculated from 30-day sales.
Kapda Stock watches stock two ways: a minimum stock level you set per variant, and reorder suggestions calculated from how fast things actually sell.
Minimum stock#
Each variant has a Min stock — set when you add or import the product (0 means no minimum).
A variant is low stock when its minimum is above 0 and its stock is at or below that minimum. For example, with Min stock 5, a variant with 5 left is low; one with 6 is not.
Low stock shows up in four places:
| Where | What you see |
|---|---|
| Inventory list | A red Low stock badge on the variant |
| Inventory → Low stock only | The list filtered to products with a low-stock variant |
| Dashboard | The Low stock items tile, counting products with a low-stock variant — Reorder suggested or All above reorder level — linking to the Reorder report |
| Daily alert | See below |
Daily low-stock alert#
Every morning at 9:00 AM IST, if any variants are low, the owner receives:
- an email — Low stock alert — N item(s) need attention, listing each item as product (colour, size): X left (min Y), and
- a WhatsApp alert with the number of items.
No alert is sent on days when nothing is low.
Reorder suggestions#
Reorder suggestions predict what to buy based on the last 30 days of sales:
- Average daily sales = units sold in the last 30 days ÷ 30
- Suggested quantity = (lead time × average daily sales) − current stock, rounded up
- A variant is suggested only when that number is above zero. Suggestions are sorted by quantity, largest first.
The lead time is 7 days by default. For example, a saree that sold 60 pieces in 30 days sells 2 a day; with 5 in stock, the suggestion is 7 × 2 − 5 = 9.
Everything that took stock out in the period counts as "sold" — sales, stock out, job-work issues and cuts that removed stock.
Where to see them#
- Inventory — a 📦 Reorder suggestions (30-day sales velocity) panel appears at the top when there are any, showing up to eight as N left · ~X/day → order Y.
- Reports → Reorder — the full list. See Reorder report.
Reorder suggestions need Manager or above.
