Payment reminders

The automatic udhaar recovery ladder — a polite WhatsApp at 7 days, a UPI payment link at 15, an AI voice call at 30 — how to switch it on, set the minimum, run it now, and pause it with a promise to pay.

Chasing udhaar is awkward. The udhaar recovery ladder does it for you, getting firmer the longer a khata stays unpaid, and stepping back as soon as a customer promises a date.

The ladder#

Once a day at 10:30 AM IST, for each customer who owes at least your minimum amount, the app looks at the age of their oldest unpaid credit and sends the step that matches:

Oldest unpaid creditStepWhat is sent
7+ days💬 Polite reminderA WhatsApp reminder with the amount due and how many days it has been outstanding
15+ days💬 Reminder + UPI linkA WhatsApp reminder that includes a UPI payment link for the full balance
30+ days📞 AI callAn automated voice call through your AI calling account; if the call cannot be placed, a firmer final WhatsApp reminder is sent instead

Only the highest step a customer qualifies for is sent. Each step is sent at most once every 30 days per customer, so nobody is messaged daily.

The UPI link uses the UPI ID from Invoicing settings; without one, the reminder goes without a link.

Switch it on#

Owner or Admin:

  1. Open Settings → 🤖 Automation.
  2. Tick Udhaar recovery ladder.
  3. Set Minimum khata ₹ — customers owing less are left alone (defaults to ₹500).
  4. Click Save automation. You see Automation settings saved.

The ladder sends WhatsApp through your business's WhatsApp connection — your own number, or the platform number — and places calls through AI calling.

Run it now#

With the ladder switched on, ▶ Run now in the Automation section runs it immediately instead of waiting for 10:30 AM. It reports either Checked N overdue khata(s) — nothing new to send today or Sent N: Customer (💬 WhatsApp), Customer (📞 AI call)…. The same once-per-30-days rule applies, so running it twice does not double-message anyone.

Promise to pay#

When a customer promises to clear their dues by a date:

  1. Open the customer → Recovery tab (the same panel appears on Overview).
  2. Under Udhaar recovery, set Promise to pay: to the date, add an optional note (up to 300 characters) and click Record.
  3. The panel shows 🤝 Promised to pay by DD/MM/YYYYpauses reminders until then.

The ladder skips that customer until the date has passed. Click clear to remove the promise early. The date cannot be in the past.

What was sent#

The Udhaar recovery panel lists the five most recent reminders for the customer — the step, the amount it was for, any note, and when it was sent.
