Credit & ledger
Read a customer's khata — the running credit/debit timeline, how the outstanding balance is calculated, credit limits and the Over limit badge, and downloading statements.
Every customer has a ledger (khata): a timeline of everything that changed what they owe. The ledger is the single source of truth for their outstanding balance.
Where to find it#
Open the customer and choose the Ledger tab. Entries are listed with a running balance after each one. A new customer shows No transactions yet — credit sales and payments will appear here.
Entry types#

Each entry shows its date and time (IST), amount, what it refers to (for example an invoice, payment or return), any note, and the balance after it.
The outstanding balance#
Outstanding = total credits − total debits.
- A positive balance is money the customer owes you.
- A negative balance means they have paid in advance.
The same figure appears on the customers list, the credit customers tab, the customer page, the dashboard's Outstanding credit tile and the aging report.
Credit limits#
Set Credit limit ₹ on the customer (0 = no limit).
- When the outstanding balance reaches the limit, the customer shows an Over limit badge.
- At POS, a sale that would push the balance past the limit is blocked unless an Admin or the Owner overrides it. See POS billing.
Statements#
📄 Statement PDF — on the customer page header, the Ledger tab, or the row menu in the customers list — downloads a statement with the customer's details, every ledger entry with its running balance, and the closing balance. The Statement footer note from Shop details (for example your payment terms and UPI ID) prints at the bottom.
Correcting a ledger#
Ledger entries are financial records and are never edited or deleted. To correct a balance:
- Money received → Record payment. See Payments & credit.
- Goods returned or a price reduced → a sale return.
