Finance overview

The Finance hub — today's cash position, expenditures, cash and bank accounts, owner drawings, reserves, financial years, opening balances, month-end closing and J&K Bank tools.

Finance (/app/finance) — Day book, expenditures and P&L — IST day boundaries — brings your cash, costs and statements together. Kapda Stock builds the books from what you already do (sales, payments, purchases), so most of Finance is reading, with a few entries only you can make: expenses, drawings, reserves and opening balances.

Finance needs the Manager role or above. Entries that change the books' structure — accounts, transfers, drawings, reserves, opening balances, closing a day, month or year — need Admin.

The hub at a glance#

Links at the top open the statements: P&L, Balance Sheet, Trial Balance, Day Book and Tally Export, plus 🔒 Close last month.

Expenditures#

Record business expenses that are not stock purchases.

  1. Choose the head in Select expense head….
  2. Enter Amount ₹ and optional Notes (up to 500 characters).
  3. Click Add expense.

Every workspace starts with these heads:

Expenses are cash out in the day book. The table lists the most recent 200. Deleting an expense needs Admin, and nothing can be recorded into a month that has been closed.

💰 Cash & bank accounts#

Track where your money sits — a cash box, bank accounts, a wallet.

  • + Account (Admin): Account name, type CASH, BANK, WALLET or OTHER, and Opening ₹.
  • edits an account's opening balance (Admin).
  • Transfer (Admin): choose From… and To…, an Amount ₹ and Notes — for example cash deposited into the bank.

An account's balance is its opening balance plus transfers in minus transfers out. These positions are kept separate from the daily till.

🧑‍💼 Owner drawings#

Personal withdrawals — recorded as cash out and deducted from capital, never counted as a business expense. Enter Amount ₹ and optional notes, then Add drawing (Admin). The running total is shown.

🏦 Reserves & surplus#

Profit set aside into a named reserve — shown under equity on the balance sheet — for example General Reserve or Building Fund. Enter a Reserve name and Amount ₹, then Add reserve (Admin). Remove asks Remove reserve "name"?.

📅 Financial years#

Indian financial years run 1 April to 31 March, labelled like 2026-27.

  • + Open next year (Admin) starts the following year. The current year is tagged Current.
  • Close year (Admin) confirms This snapshots the balance sheet and net profit, then carries the closing equity forward as the opening balance of the next year. A closed year is tagged Closed with its net profit.

🧾 Opening balances — capital & loans#

Owner's capital and outstanding loans shown on the balance sheet. Set these once when you start using the app; retained earnings adjusts automatically. Enter Paid-in capital ₹ and Loans ₹ and click Save (Admin).

Month-end closing#

🔒 Close last month (Admin) locks the previous calendar month. You are asked twice — All day book entries for the month will be LOCKED and backdated expenditures/manual entries will be rejected. This cannot be undone. then Final confirmation — permanently lock Month Year? — and see Month Year closed and locked ✅.

🏦 J&K Bank — reconciliation & transfers#

This section appears on the Finance hub for Admins:

  • Import bank statement (CSV)Columns: date, description, debit, credit, balance — credits are matched to open invoices by invoice number or exact amount and marked paid. Click Upload statement CSV.
  • Direct transfer (supplier payout)Beneficiary name, Account number, IFSC (JAKA0…), Amount ₹, Narration, then Push transfer. The IFSC must match the J&K Bank pattern JAKA0XXXXXX.
